Setting up & using the Vincere Integration

This article describes how to set up, use your Vincere integrations and sync features.

Vincere Integration Setup

In order to set up your Vincere integration on SourceWhale simply follow these steps.

Step 1

Navigate to your initials/image in the bottom left-hand corner > Select Integrations from the dropdown menu > Search for Vincere in the search bar.

Once they have provided you the information, enter your Client ID, API Key and Vincere Domain into the relevant fields.

Then click 'Activate'.

Once the integration is active you will see a green connected box by the Vincere icon.


Sync Features

On the integrations page, you will be able to set default settings for yourself and your team.

General Settings

  1. Sync manual contact updates to Vincere - Automatically update Vincere with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.

  2. Don't overwrite existing CVs in Vincere - If contact has an existing CV in Vincere, we will not upload a new CV.

  3. Block emails to recipients marked as off-limits - If turned on, SourceWhale will not send emails to contacts marked as off-limits/opt-out in Vincere

  4. Update existing contacts' full work/education history, if known - Turning this toggle on will update contacts in Vincere with all available work and education history if synced again.

  5. Displayed Company info - Select the option to give further information regarding a company in the SourceWhale Chrome extension.

  6. Displayed Company warning - Select the option you would like displayed to help identify the correct company for a Candidate/Contact when there may be possible company duplicates or similarly named companies in Vincere.

  7. Create notes upon - Choose for which outreach types a note is pushed in Vincere.

Sync Settings

  1. Set different settings for Candidates/Contacts/Candidates & Contacts.

  2. Only add notes to synced records - Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in Vincere once a Candidate/Contact has been marked as "interested" or "replied".

  3. Add activities & notes to companies - As well as adding to the candidate record, activities and notes will be added to the company records.

  4. When adding to a campaign - Choose to sync when adding Candidates/Contacts/Candidates & Contacts or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform

  5. Unsubscribe Status - Candidates who unsubscribe will be given this status

  6. New Candidate Status - If the candidate does not already exist in Vincere, they will be added with this status

  7. Required Fields - Choose which fields must be filled in before being pushed into Vincere.

  8. Displayed fields - Choose which Vincere fields users can optionally tag to a Candidate/Contacts/Candidates & Contacts to push into Vincere.

  9. Mandatory fields - Choose which Vincere fields must be filled in to push Candidates/Contacts/Candidates & Contacts into Vincere.

  10. Protected fields - Selected fields will not be overwritten in Vincere when syncing data.

  11. Filterable fields - Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Stage Mapping

Here you can map SourceWhale stages to your custom Vincere stages.

  1. Set different settings for Candidates/Contacts/Candidates & Contacts

  2. Select the drop-down for each stage to map it to the correct Vincere Stage

Note Mapping

Here you can map SourceWhale stages to your custom Vincere note types.

Field Mapping

Here you can customise and map all Vincere fields to the corresponding SourceWhale variable.

Please do not adjust unless you are finding that the variables are not mapping as expected in Vincere.

  1. Set different settings for Candidates/Contacts/Candidates & Contacts

  2. String Variables: These SourceWhale variables can only be mapped to one field in Vincere.

  3. List Variables: These SourceWhale variables can be mapped to multiple fields in Vincere.

  4. Social URLs: Link specific social URLs such as LinkedIn, Twitter, etc. to the correct field in Vincere.

Using Vincere with SourceWhale

Within SourceWhale you can use the Vincere integration features in the campaign settings or Chrome extension.

Campaign Settings

When creating a campaign, you will be prompted with this pop-up:

Below the campaign name and type, you can choose whether to sync as a Candidate or Contact. You can also choose to adjust the default sync settings. If you click on the grey arrow to the right-hand side of the 'Sync options', you will see that you have the possibility to push a Candidate or Contact through with specific tags.


Chrome Extension

When using the chrome extension you will be able to access some of these features as well. This option is available in order to give the ability to change the settings you have previously set, for specific individuals.

I.e. In the campaign settings page, you have selected that you want everyone to be pushed through as a Candidate, but you come across someone you'd rather push through as a Contact, you can then change this by clicking on the 'sync as' box and selecting the option that suits that Contact better.

You can do the same in regards to advanced settings options, by clicking on the grey arrow to the right of the 'Sync as' box.

Your team admin can alter the fields displayed at any time by going into the integrations page.

Extension Widget

You can now see what pages the extension will run over in your Vincere instance without opening the full extension using our extension widget.

The extension widget will sit on the edge of your browser, on the right side of the browser the first time this is used.

If the widget is blue (active), you can use the extension on the page. If the widget is gray (inactive), you can not use the extension on the page. Clicking on the widget in its active or blue state will open the extension for you.

You can move the extension widget around by selecting the six dots above the widget and dragging and dropping it to your desired location.
