Users in Sourcewhale

Welcome to the Sourcewhale help center! In this guide, we will cover everything you need to know about users in Sourcewhale.

Navigating the Users page

  1. Number of users, viewers, and alias seats

  7. Actions: Move to another team, Transfer data, Edit User settings, Delete User.

  8. Export Users, Add New User.


User Management

Adding a User

  1. Select "Add User"

  2. Input the invited user's email address. Note: You are able to add multiple users at once. Just add a comma and space then the additional user's email address.

  3. Set the user permission type. Note: It is best practice if you will be inviting multiple users that will have different permission types to add all users of the same permission type together.

  4. Turn on "Admin Panel" for any users you'd like to have access to the Admin panel and Integrations page. Note: For certain integrations, all users are required to activate the integration. Please see the Integrations collection and select your integration article to see if this is needed for your team.

  5. Select "Save".

  • If you are looking to add more users than your initial seat count, you'll be prompted to update this. Once confirmed this change will be reflected on your invoice.


Deleting a User

To delete a user, simply select the 'X' button (highlighted below), to delete the user. Seats are recyclable so you are able to invite a new user to take the place of the deleted user if necessary.


User Types

  1. User: Standard user seat in Sourcewhale capable of performing all the usual functions in SourceWhale, see Permission Types for more detail.

  2. Viewer: Viewer-only seat that only has access to the platform but cannot perform all the usual functions in Sourcewhale, this seat can be used for an admin or technical support user.

  3. Alias: An extra email address from which to send from while using your main account. These accounts do not have access to the platform.(see more here: How to Add an Alias)


Permission Types

  1. User: A normal user, capable of performing all the usual functions in SourceWhale.

  2. Super User: All the permissions of a user, plus the ability to add contacts to teammate's campaigns.

  3. Alias: Extra email address from which to send from whilst using your main account. These accounts do not have access to the platform.

  4. Viewers: For managers/members of the team who want to access SourceWhale in a view-only capacity but not use the functionality of the platform.

Admins: Every team in SourceWhale has an admin. Admins can be a User, Super User, or Viewer depending on how they want to use the platform, and they have the ability to add and delete users from the admin panel.

Note: If you are Super-User and an Admin, you will be able to edit your teammate's campaigns.


Groups

You're able to further segment user management by assigning users to Groups. Once the group has been created, (How to create a group) assign the users by selecting the group from the dropdown.


Transferring data between users

If you remove or add a user and would like to transfer campaign and project data to another user, you can do this by clicking the arrow icon (highlighted below).

Note: It is important to make sure all campaigns being transferred are either completed or paused to avoid any data being lost or campaigns being interrupted.
