Setting up the Recruitly Integration

This article describes how to set up your Recruitly integration and sync features.

In order to set up your Recruitly integration on SourceWhale simply follow these steps.


Step 1

Navigate to your initials/image in the bottom left-hand corner > click on Integrations > select Recruitly.

Step 2

Vavigate to My Profile -> My API Keys page from your Recruitly dashboard.

At the top of the Private API Keys page, you will see the option to Generate New Key.

Step 4

Click 'Activate'.

Once your integration is active you will see a green connected box appear by the Recruitly icon.


Sync Features

On the integrations page, an admin will be able to set default settings for yourself and your team.

General Settings

  1. Do not merge with existing contacts in Recruitly: Turning this toggle on will create duplicates in Recruitly.

  2. Displayed Company info: Select the option to give further information regarding a company in the SourceWhale chrome extension.

  3. Displayed Company Warning: Select the option you would like displayed to help identify the correct company for a Candidate/Contact/Lead when there may be a possible company duplicates or similarly named companies in Recruitly.

  4. Create notes upon: Choose for which outreach types a note is pushed into Recruitly.

Sync Settings

  1. Set different settings for Candidates, Contacts and Leads.

  2. Only add notes to synced records: Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in Recruitly once a Candidate/Contact/Lead has been marked as "interested" or "replied".

  3. When adding to a campaign: Choose to sync when adding a Candidate/Contact/Lead or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform.

  4. Displayed fields: Choose which Recruitly fields users can optionally tag to Candidate/Contact/Lead to push into Recruitly.

  5. Mandatory fields: Choose which Recruitly fields must be filled to push an Candidate/Contact/Lead into Recruitly.

  6. Protected fields: Selected fields will not be overwritten in Recruitly when syncing data.

  7. Filterable fields: Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Stage Mapping

Here you can map SourceWhale stages to your custom Recruitly stages.

  1. Set different settings for Candidates, Contacts and Leads

  2. Select the drop-down for each stage to map it to the correct Recruitly stage

Field Mapping

Here you can customise and map all Recruitly fields to the corresponding SourceWhale variable.

Note: Please do not adjust unless you are finding that the variables are not mapping as expected in Recruitly.

  1. Set different settings for Candidates, Contacts and Leads

  2. String Variables: These SourceWhale variables can only be mapped to one field in Recruitly.

  3. List Variables: These SourceWhale variables can be mapped to multiple fields in Recruitly.

  4. Social URLs: Link specific social URLs such as LinkedIn, Twitter etc to the correct field in Recruitly.
