This article describes how to set up, use your Crelate integration and sync features.

Crelate Integration Setup

Setting up your Crelate integration in SourceWhale is very simple, all you need to do is follow the steps below.

Step 1

Navigate to your initials/image in the bottom left-hand corner > Select Integrations from the dropdown menu > Search for Crelate in the search bar.

Step 2

To enable the Crelate integration, obtain an API key here and enter it in the box below.

Step 3

Click Activate.

When the integration is active, you will see a green connected box appear on the right-hand side of the Crelate logo.


Sync Features

On the integrations page, you will be able to set default settings for yourself and your team.

General Settings

  1. Sync manual contact updates to Crelate - Automatically update Crelate with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.

  2. Displayed Company info - Select the option to give further information regarding a company in the SourceWhale Chrome extension.

  3. Displayed Company Warning - Select the option you would like displayed to help identify the correct company for a Candidate/Client/Lead/Employee when there may be possible company duplicates or similarly named companies in Crelate.

  4. Create notes upon - Choose for which outreach types a note is pushed in Crelate.

Sync Settings

  1. Set different settings for Candidate/Client/Lead/Employee by clicking on the dropdown

  2. Only add notes to synced records - Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in Crelate once a Candidate/Client/Lead/Employee has been marked as "interested" or "replied".

  3. When adding to a campaign - Choose to sync when adding Candidate/Client/Lead/Employee or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform.

  4. Displayed fields - Choose which Crelate fields users can optionally tag to a Candidate/Client/Lead/Employee to push into Crelate.

  5. Mandatory fields - Choose which Crelate fields must be filled to push Candidate/Client/Lead/Employee into Crelate.

  6. Protected fields - Selected fields will not be overwritten in Crelate when syncing data.

  7. Filterable fields - Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Stage Mapping

Here you can map SourceWhale stages to your custom Crelate stages.

  1. Set different settings for Candidate/Client/Lead/Employee by clicking the dropdown

  2. Select the drop-down for each stage to map it to the correct Crelate Stage

Field Mapping

Here you can customise and map all Crelate fields to the corresponding SourceWhale variable.

Please do not adjust unless you are finding that the variables are not mapping as expected in Crelate.

  1. Set different settings for Candidate/Client/Lead/Employee by clicking the dropdown

  2. String Variables - These SourceWhale variables can only be mapped to one field in Crelate.

  3. List Variables - These SourceWhale variables can be mapped to multiple fields in Crelate.

  4. Social URLs - Link specific social URLs such as LinkedIn, Twitter etc to the correct field in Crelate.

Using Crelate with SourceWhale

Once you have set up your integration you will be able to use and set up the different features available.

Campaign Settings Page

On the campaigns setting page you will see different options regarding when and how Candidates/Client/Lead/Employee are pushed through to Crelate.

Dropdown options: If you click on the grey arrow to the right hand side of the 'Sync options', you will see that you have the possibility to push through Candidate/Client/Lead/Employee to a variety of different areas in Crelate (shown below)

When you select any of these everyone you source and add to the campaign will be pushed through to the fields selected.


Chrome Extension

When using the chrome extension you will be able to access some of these features as well. This option is available in order to give the ability to change the settings you have previously set, for specific individuals.

I.e. In the campaign settings page, you have selected that you want everyone to be pushed through as a candidate, but you come across someone you'd rather push through as a client, you can then change this by clicking on the 'sync as' box and selecting the option that suits that contact better.

You can do the same in regards to advanced setting options, by clicking on the grey arrow to the right of the 'Sync as' box.

Your team admin can alter the fields displayed at any time by going into the integrations page.
