Bullhorn Integration Setup
In order to set up your Bullhorn integration on SourceWhale simply follow these steps:
Step 1
Navigate to your initials/image in the bottom left-hand corner
Select Integrations from the dropdown menu
Search for Bullhorn in the search bar
Step 2
To enable the Bullhorn integration, raise a support ticket here asking for an API username and password to be used with SourceWhale.
Bullhorn will then send those details over to us to integrate your Bullhorn Account to SourceWhale.
Once your integration is active you will see a green connected box appear by the Bullhorn Icon.
Integration Settings
On the integrations page, you will be able to set default settings for yourself and your team.
Contact Settings
Sync manual contact updates to Bullhorn
- Automatically update Bullhorn with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.
Block emails to recipients marked as off-limits
- If turned on, SourceWhale will not send emails to contacts marked as off-limits/opt-out in Bullhorn
Adding to Bullhorn:
Add Candidate/Contact/Lead to Bullhorn
- Choose when Candidates/Contacts/Leads get added to Bullhorn either when added to the campaign, when they respond or when they respond positively and are interested. Alternatively, you can choose to not add this contact type.
Only add notes to synced records
- Toggling this on will mean that if you have "only when they reply" or "only when they are interested" for the Add candidate to
option, we will only add notes to existing records in Bullhorn once a Candidate/Contact/Lead has been marked as "interested" or "replied".
Candidate/Contact/Lead Fields
Displayed Fields
- Choose which Bullhorn fields users can optionally tag to a Candidate/Contact/Lead to push into Bullhorn
Mandatory Fields
- Choose which Bullhorn fields must be filled to push Candidate/Contact/Lead into Bullhorn.
Update field in Bullhorn
- You can choose "Always update" or "Only update if Blank":
Always update will update the field regardless if there is existing information on a contact in this field. Any existing information will be overwritten by the new information.
Only update if Blank will only update when the field is empty and won't overwrite any existing data.
Candidate/Contact/Lead Status
Job status
- Candidates/Contacts/Leads will be added to Jobs with this status
Default Status
- Add new Candidates/Contacts/Leads with a default status
Unsubscribe Status
- Automatically set the selected status for Candidates/Contact/Leads who unsubscribe.
Advanced Settings
Link to existing records
- When creating a candidate record, if the same person already has a contact record in Bullhorn the two records will be linked.
Don't push to Bullhorn if required fields are missing
- If any required fields in Bullhorn are not filled e.g. Email address, then the Candidate/Contacts/Lead will not be pushed into Bullhorn.
Custom stage field
- The SourceWhale stage of a record will be synced to this field in Bullhorn
Link to jobs as...
- When a Candidate/Contact/Lead is added to a job, you can choose to either create a note on both the job and the new candidate, or to create a new job submission
Filterable Fields
- Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your Bullhorn using these fields directly from within SourceWhale.
Activity Notes
Here you can map SourceWhale activities to your custom Bullhorn note types.
Create new notes from
- Choose for which outreach types a note is pushed in Bullhorn
Set different settings for Candidates/Contacts/Leads
by selecting the relevant tab.
Select the dropdown for each stage to map it to the correct Bullhorn Note Type
You don't need to map notes as the note will still be created in the CRM (just without a specific note action type/category) but mapping helps track ROI.
Contact Fields
Here you can customise and map all Bullhorn fields to the corresponding SourceWhale variable.
Please do not adjust unless you are finding that the variables are not mapping as expected in Bullhorn.
General Settings
Displayed Company Information
New company status
- For all new companies, automatically default to the selected status.
Displayed company info
- Select the option to give further information regarding a company in the SourceWhale Chrome extension.
Displayed company warning
- Select the option you would like displayed to help identify the correct company for a Candidate/Client Contact/Lead when there may be possible company duplicates or similarly named companies in your CRM.
Displayed Job Information
Job status whitelist
- Display the jobs under the selected job statuses only.
Flagged data removal
Remove flagged email addresses
- If you flag an email address in SourceWhale, it will be removed from any contacts in Bullhorn that have the address.
Remove flagged phone numbers
- If you flag a phone number in SourceWhale, it will be removed from any contacts in Bullhorn that have the address.
Advanced Setting
Don't overwrite existing CVs in Bullhorn
- If a contact has an existing CV in Bullhorn, we will not upload a new CV.
Users can only see Bullhorn records from their department
- When pushing contacts to Bullhorn, if a record already exists but it is in a different department to the user, a duplicate record will be created.
Update existing contacts' full work/education history, if known
- Turning this toggle on will update contacts in Bullhorn with all available work and education history if synced again.
Record creation note action
- This action will be used when a note is created in Bullhorn upon adding a contact to SourceWhale.
How to use SourceWhale with Bullhorn
Campaign Settings
When creating a campaign, you will be prompted with this pop-up:
Below the campaign name and type, you can choose whether to sync as a Candidate/Contact/Lead. You can also choose to adjust the default sync settings. If you click on the grey arrow to the right-hand side of the 'Sync options', you will see that you have the possibility to push a Candidate/Contact/Lead through with specific tags.
Log Candidate against Spec CV
Choose to associate a campaign step with a specific bullhorn candidate ID to ensure the step is logged against the candidate as spec CV.
When the Bullhorn Candidate ID of spec CV field is given, we look to see if there is a match in bullhorn for that candidate and only create a spec send if so. The contact being reached out to must also be a ‘Contact’.
The Client Submission will be tracked as a spec CV in your KPIs when there is no Job specified. We will also populate the email field of the client submission with the email address the spec CV is being sent to if it’s been given in SourceWhale.
Spec CVs can also be created for non email notes (e.g. inMails) but no email address will be given. The Sender field will be populated by the current user, and the company field will be the company of the Contact being reached out to - if one exists.
Chrome Extension
When using the chrome extension you will be able to access some of these features as well. This option is available in order to give the ability to change the settings you have previously set, for specific individuals.
I.e. In the campaign settings page, you have selected that you want everyone to be pushed through as a Candidate, but you come across someone you'd rather push through as a Contact, you can then change this by clicking on the 'sync as' box and selecting the option that suits that contact better.
You can do the same in regards to advanced setting options, by clicking on the grey arrow to the right of the 'Sync as' box.
Your team admin can alter the fields displayed at any time by going into the integrations page.
Extension Widget
You can now see what pages the extension will run over in your Bullhorn instance without opening the full extension using our extension widget.
The extension widget will sit on the edge of your browser, on the right side of the browser the first time this is used.
If the widget is blue (active), you can use the extension on the page. If the widget is grey (inactive), you can not use the extension on the page. Clicking on the widget in its active or blue state will open the extension for you.
You can move the extension widget around by selecting the six dots above the widget and dragging and dropping it to your desired location.
