This article describes how to set up, use your Loxo integration and Integration settings

Loxo Integrations Setup

Setting up your Loxo integration in SourceWhale is very simple, all you need to do is follow the steps below.

Step 1

Go to your initials/image in the bottom left-hand corner of SourceWhale and click on it > Select Integrations from the dropdown box > Search for Loxo in the search bar.

Step 2

To enable the Loxo integration, you will need an Agency Slug and Bearer Token

⚠️ Users must have admin permissions to issue a bearer token

Step 3

Once you have entered all the relevant information then click Activate.

When the integration is active, you will see a green connected box appear on the right-hand side of the Loxo logo.


Integration Settings

On the integrations page, you will be able to set default settings for yourself and your team.

Contact Settings

Sync manual contact updates to Loxo - Automatically update Loxo with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.

Block emails to recipients marked as off-limits - If turned on, SourceWhale will not send emails to contacts marked as off-limits/opt-out in Loxo.

Adding to Loxo

Add Candidate/Contact/Contractor to Loxo - Choose when Candidates/Contacts/Contractors get added to Loxo, either when added to the campaign, when they respond or when they respond positively and are interested. Alternatively, you can choose to not add this contact type.

Only add notes to synced records - Toggling this on will mean that if you have "only when they reply" or "only when they are interested" for the Add Candidate/Contact/Contractor to option, we will only add notes to existing records in Loxo once a Candidate/Contact/Contractor has been marked as "interested" or "replied".

Candidate/Contact/Contractor Fields

Displayed Fields - Choose which Loxo fields users can optionally tag to a Candidate/Contact/Contractor to push into Loxo.

Mandatory Fields - Choose which Loxo fields must be filled to push Candidate/Contact/Contractor into Loxo.

Update field in Loxo - You can choose "Always update" or "Only update if Blank":

Always update will update the field regardless if there is existing information on a contact in this field. Any existing information will be overwritten by the new information.

Only update if Blank will only update when the field is empty and won't overwrite any existing data.

Advanced Settings

Filterable Fields - Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Activity Notes

Here you can choose which activities will create notes in Loxo.

Note creation

Create new notes from - Choose for which outreach types a note is pushed in Loxo.

Note mapping

Here you can map SourceWhale activities to your custom Loxo note types.

Set different settings for Candidates/Contacts/Contractors by selecting the relevant tab.

Select the dropdown for each stage to map it to the correct Loxo Note Type

You don't need to map notes as the note will still be created in the CRM (just without a specific note action type/category) but mapping helps track ROI.

Contact Stages

Here you can map SourceWhale outreach stages to your custom Loxo stages.

Select the drop-down for each stage to map it to the correct Loxo Stage.

Contact Fields

Here you can customise and map all Loxo fields to the corresponding SourceWhale variable.

Please do not adjust unless you are finding that the variables are not mapping as expected in Loxo.

General Settings

Displayed Company Information

Displayed company info - Select the option to give further information regarding a company in the SourceWhale Chrome extension.

Displayed company warning - Select the option you would like displayed to help identify the correct company for a Candidate/Contact/Contractor when there may be possible company duplicates or similarly named companies in your CRM.

Job Information

Job status whitelist - Display the jobs under the selected job statuses only.

Advanced Setting

Don't overwrite existing CVs in Loxo - If a contact has an existing CV in Loxo, we will not upload a new CV.

Update existing contacts' full work/education history, if known - Turning this toggle on will update contacts in Loxo with all available work and education history if synced again.

Using Loxo with SourceWhale

Campaign Settings Page

On the campaigns setting page you will see different options regarding when and how Candidates/Contacts/Contractors are pushed through to Loxo.

Dropdown options: If you click on the grey arrow to the right hand side of the 'Sync options', you will see that you have the possibility to push through Candidates/Contacts/Contractors to a variety of different areas in Loxo (shown below).

When you select any of these, everyone you source and add to the campaign will be pushed through to the fields selected.


Chrome Extension

When using the chrome extension you will be able to access some of these features as well. This option is available in order to give the ability to change the settings you have previously set, for specific individuals.

I.e. In the campaign settings page, you have selected that you want everyone to be pushed through as a candidate, but you come across someone you'd rather push through as a contact, you can then change this by clicking on the 'sync as' box and selecting the option that suits that contact better.

You can do the same in regards to advanced setting options, by clicking on the grey arrow to the right of the 'Sync as' box.

Your team admin can alter the fields displayed at any time by going into the integrations page.
