Setting up & using the JobAdder Integration

This article describes how to set up, use your JobAdder integrations and Integration settings

JobAdder Integration Setup

In order to set up your JobAdder integration on SourceWhale simply follow these steps. Efficient integration between JobAdder and SourceWhale requires proper API permissions as a prerequisite.

Step 1

Navigate to your initials/image in the bottom left-hand corner > Select Integrations from the dropdown menu > Search for JobAdder in the search bar.

Step 2

Once on the integrations page simply select JobAdder and click Activate.

Once the integration is active, you will see a green connected box by the JobAdder icon.

Granting API Permissions in JobAdder

If you experience an error when trying to login to your JobAdder account after clicking Activate within SourceWhale. then you will need to ensure API permissions are correctly set up by following these steps:

  1. Log in to your JobAdder account as an admin user.

  2. Navigate to Settings β†’ Admin β†’ User.

  3. Select the user account for which you want to grant API permissions.

  4. Scroll to the bottom of the permissions section.

  5. Tick the checkbox labeled Grant API access to Integration Partners.

  6. Save your changes to apply the new permissions. This step ensures your JobAdder account can work seamlessly with integration partners like SourceWhale and is a necessary prerequisite for the integration to function properly.


Integration Settings

On the integrations page, you will be able to set default settings for yourself and your team.

Contact Settings

Sync manual contact updates to JobAdder - Automatically update JobAdder with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.

Block emails to recipients marked as off-limits - If turned on, SourceWhale will not send emails to contacts marked as off-limits/opt-out in JobAdder

Adding to JobAdder

Add Candidate/Contact to JobAdder - Choose when Candidates/Contacts get added to JobAdder, either when added to the campaign, when they respond or when they respond positively and are interested. Alternatively, you can choose to not add this contact type.

Only add notes to synced records - Toggling this on will mean that if you have "only when they reply" or "only when they are interested" for the Add candidate/contact to option, we will only add notes to existing records in JobAdder once a Candidate/Contact has been marked as "interested" or "replied".

Candidate/Contact Fields

Displayed Fields - Choose which JobAdder fields users can optionally tag to a Candidate/Contact to push into JobAdder.

Mandatory Fields - Choose which JobAdder fields must be filled to push Candidate/Contact into JobAdder.

Update field in JobAdder - You can choose "Always update" or "Only update if Blank":

Always update will update the field regardless if there is existing information on a contact in this field. Any existing information will be overwritten by the new information.

Only update if Blank will only update when the field is empty and won't overwrite any existing data.

Advanced Settings

Only store personal emails - Choose to only save personal emails for candidates and work emails for contacts in JobAdder

Filterable Fields - Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Activity Notes

Here you can choose which activities will create notes in JobAdder

Note Creation

Create new notes from - Choose for which outreach types a note is pushed in JobAdder.

Note Mapping

Here you can map SourceWhale activities to your custom JobAdder note types.

Set different settings for Candidates/Contacts by selecting the relevant tab.

Select the dropdown for each stage to map it to the correct JobAdder Note Type

You don't need to map notes as the note will still be created in the CRM (just without a specific note action type/category) but mapping helps track ROI.

Contact Stages

Here you can map SourceWhale outreach stages to your custom JobAdder stages.

Set different settings for Candidates/Contacts by selecting the relevant tab.

Select the drop-down for each stage to map it to the correct JobAdder Stage

Contact Fields

Here you can customise and map all JobAdder fields to the corresponding SourceWhale variable.

Please do not adjust unless you are finding that the variables are not mapping as expected in JobAdder.

General Settings

Displayed Company Information

Displayed company info - Select the option to give further information regarding a company in the SourceWhale Chrome extension.

Displayed company warning - Select the option you would like displayed to help identify the correct company for a Candidate/Contact when there may be possible company duplicates or similarly named companies in your CRM.

Displayed Job Information

Job status whitelist - Display the jobs under the selected job statuses only.

Advanced Settings

Don't overwrite existing CVs in JobAdder - If a contact has an existing CV in JobAdder, we will not upload a new CV.

Using JobAdder with SourceWhale

Within SourceWhale you can use the JobAdder integration features in the campaign settings or Chrome extension.

Campaign Settings

On the campaigns setting page you will see different options regarding when and how Candidates/Contacts are pushed through to JobAdder.

If you have ticked any "Displayed Fields" or "Mandatory Fields" in your Integration Settings, they will display in your Campaign Settings so you can fill them out

When you select any of these, everyone you source and add to the campaign will be pushed through to the fields selected.

Chrome Extension

When using the chrome extension you will be able to access some of these features as well. This option is available in order to give the ability to change the settings you have previously set, for specific individuals.

I.e. In the campaign settings page, you have selected that you want everyone to be pushed through as a Candidate, but you come across someone you'd rather push through as a Contact, you can then change this by clicking on the 'sync as' box and selecting the option that suits that Contact better.

You can do the same in regards to advanced setting options, by clicking on the Show More button underneath the Sync dropdown.


You will then be able to see the "Displayed Fields" you have selected within the Integration Settings.

Your team admin can alter the fields displayed at any time by going into the Integrations page.
