Setting up the Encore Integration

This article describes how to set up your Encore integration and sync features.

Learn how to set up your Encore integration in SourceWhale by following the steps below.

Note: To enable the Encore integration, you will need to contact Cluen so they can update your Encore Max database in preparation for use with SourceWhale. They will then provide you with secret credentials to activate the integration within SourceWhale.

Step 1

  • Navigate to your initials/image in the bottom left-hand corner of SourceWhale

  • Click on the initials/image

  • Select Integrations from the dropdown menu

  • Search for Encore and click Connect

Step 2

  • Enter the Server, Database, Username, and Password credentials obtained from Cluen

  • Click Activate

Step 3

When the integration is active, you will see a green connected box appear on the right-hand side of the Encore logo.


Sync Features

On the integrations page, an admin will be able to set default settings for yourself and your team.

General Settings

  1. Backfill SourceWhale events when creating a contact: Turning this toggle on will backfill any existing activities completed in SourceWhale when manually pushing a contact into Encore.

  2. Update existing contacts' full work/education history, if known: Turning this toggle on will update contacts in Encore with all available work and education history if synced again.

  3. Displayed Company info: Select the option to give further information regarding a company in the SourceWhale Chrome extension.

  4. Displayed Company Warning: Select the option you would like displayed to help identify the correct company for a Candidate when there may be possible company duplicates or similarly named companies in Encore.

  5. Create notes upon: Choose for which outreach types a note is pushed in Encore.

Sync Settings

  1. Only add notes to synced records: Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in Encore once a Candidate has been marked as "interested" or "replied".

  2. When adding to a campaign: Choose to sync when adding Candidates or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform.

  3. Displayed fields: Choose which Encore fields users can optionally tag to a Candidate to push into Encore.

  4. Mandatory fields: Choose which Encore fields must be filled to push a Candidate into Encore.

  5. Protected fields: Selected fields will not be overwritten in Encore when syncing data.

  6. Filterable fields: Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly within SourceWhale.

Stage Mapping

Here you can map SourceWhale stages to your custom Encore stages. Select the drop-down for each stage to map it to the correct Invenias Stage

Note Mapping

Here you can map SourceWhale outreach types to your custom Encore note types. Select the drop-down for each outreach type to map it to the correct Encore note type.

Field Mapping

Here you can customise and map all Encore fields to the corresponding SourceWhale variable.

Note: Please do not adjust unless you are finding that the variables are not mapping as expected in Encore.

  1. String Variables: These SourceWhale variables can only be mapped to one field in Encore.

  2. List Variables: These SourceWhale variables can be mapped to multiple fields in Encore.

  3. Social URLs: Link specific social URLs such as LinkedIn, Twitter, etc. to the correct field in Encore.
