The Agent helps you create charts, tables and other visual insights from your SourceWhale data without having to build a report from scratch.
You can ask a question, refine the result, adjust the visualisation, and save your report to come back to later.
The Agent is currently in beta. This means some questions, data combinations and reporting options may not yet be supported.
What can I use the Agent for?
You can ask questions about many areas of your CRM & ATS data, including:
Candidates
Companies
Projects
Calls and meetings
Interviews
Placements and hires
Revenue
Recruitment activity
Team performance
For example, you could ask:
“Show hires per recruiter for the past six months.”
“Show candidates in each project stage.”
“Show projects won per recruiter by month.”
“Show meetings completed each week over the past six months.”
“Create a revenue leaderboard by recruiter.”
“What is our total revenue this quarter?”
“Show the top five recruiters by hires this year.”
The Agent interprets your request and uses it to determine things such as the data you're asking about, the metric, filters, date range, grouping and visualisation.
How to create a report
1. Ask a question
Start by describing what you want to see in plain English. For example: “Show hires per recruiter for the past six months.”
You don't need to know which filters or chart type to use. The Agent will use your request to create an initial visualisation.
2. Review the result
Check that the visualisation represents what you intended.
3. Refine your request
You can continue the conversation to change the result.
For example: “Change it to the last 90 days.”
Or: “Exclude archived projects.”
Or: “Only include these three recruiters.”
The Agent will keep the existing context where possible and apply your requested change.
If your request isn't clear or isn't currently supported, the Agent may ask you to clarify what you mean.
4. Edit the visualisation
Once you have the data you want, you can manually adjust the generated report configuration.
Depending on the insight, you can change things such as:
Chart type
Date range
Filters
Grouping
Metric
Absolute or relative values
Available visualisation types may include:
Bar charts
Stacked bar charts
Line charts
Pie charts
Funnels
Leaderboards
Data tables
Single-number metrics
The Agent will generally choose a suitable visualisation for your question, but you can change this if another format works better for you.
5. Save your report
When you're happy with your insight, give the report a name and save it. Your saved report keeps its configuration so you can return to it later.
Viewing and managing saved reports
Once you've saved a report, you can:
View your saved reports data
Open a saved report
reorder insights
Update an existing report
Delete a report
Delete an individual insight
This means you don't need to recreate a report every time you want to use it.
For example, you might save a report showing monthly hires by recruiter and return to it regularly.
Understanding your results
Check the underlying records
Where available, you can inspect the records behind a visualisation. This allows you to understand where the numbers in your chart come from and reconcile them against the underlying CRM & ATS records.
For example, if your report shows 12 hires, you can inspect the relevant records behind that number.
Empty data
If there are no records matching your request, the Agent should show that there is no data rather than inventing a result.
Similarly, if information such as revenue isn't available for a record, it may be shown as unavailable rather than being treated as £0.
Archived projects
Archived projects are excluded from reporting by default.
If you need to report on archived data, make sure the relevant filtering options are available for your request.
Tips for getting better results
Be specific about dates
Instead of: “Show me hires.”
Try: “Show hires per recruiter for the last 90 days.”
You can specify periods such as:
This week
This month
This quarter
This year
The last 30 days
The last six months
A specific date range
Be clear about what you want to measure
Some CRM & ATS terms can refer to different things.
For example: “Show placements per recruiter”
is different from: “Show hires per recruiter”
If the distinction matters for your report, include the exact metric you want.
Use follow-up questions
You don't have to get your first request perfect.
Start with something simple and then refine it: “Show hires by recruiter this year.”
Then: “Only show the top five.”
Then: “Change this to a bar chart.”
This can be easier than trying to describe the entire report in one request.
Check the configuration
Before relying on a report, check the date range, filters, grouping and metric shown in the configuration. This is particularly important when asking more complex questions.

What is the Agent?
The Agent is an AI-powered reporting tool that lets you create CRM & ATS insights by describing what you want to see in plain English.
You can then refine and edit the result before saving it as a report.
Do I need to know how to build reports?
No. You can start by simply describing the insight you want. The Agent will use your request to generate an initial visualisation, which you can then edit if needed.
Can I change the result after it has been generated?
Yes. You can either ask the Agent to refine the result or manually edit the report configuration.
For example: “Change this to the last 30 days.”
or “Show this as a line chart.”
Will the Agent remember what I asked for?
Within the conversation, the Agent uses the existing context when you make follow-up requests.
For example, if you ask: “Show hires by recruiter this year.”
and then say: “Only show the top five.”
it can apply the second request to the existing insight.
Can I save my reports?
Yes. Once you're happy with an insight, you can save it as a report and access it again later.
Can I edit a saved report?
Yes. Saved reports can be reopened and updated.
Can I delete a saved report?
Yes. You can delete saved reports and individual insights.
Can I see the records behind a number?
Where drill-down is available, yes. You can inspect the underlying records that make up a visualisation. This can help you understand and reconcile the numbers shown in your report.
Can I report on campaign activity?
Campaign reporting isn't currently supported by the Agent.
Can I create a dashboard with multiple widgets?
Not currently. The initial experience focuses on creating and saving individual insights/reports rather than building multi-widget dashboards.
Can I share my reports with other users?
Report sharing and report-level view/edit permissions aren't currently available.
Can I report on projected revenue?
Projected revenue isn't currently supported.
Why can't the Agent answer my question?
The Agent is still in beta, so some questions aren't currently supported.
This can happen when:
Your question requires data from multiple areas that aren't currently supported together.
The requested metric isn't available.
The requested grouping or filtering isn't supported.
The question is ambiguous and needs clarification.
There isn't enough data to produce a meaningful result.
Try simplifying the question or being more specific about the metric, date range or filters you need.
Why does my report look different from what I expected?
The Agent interprets your request and makes decisions about the metric, filters, grouping and visualisation.
Always review these settings before relying on the result. If something isn't right, you can ask the agent to change it or adjust the configuration manually.
Are my reports based on data I don't have access to?
No. The Agent respects your existing SourceWhale permissions. You should only be able to access records you already have permission to view.
What should I do if I get an unexpected result?
If the result doesn't look right:
Check the metric: make sure you're measuring hires, placements, projects, revenue, etc. as intended.
Check the date range: confirm that the report is looking at the period you expect.
Check the filters: make sure the right projects, recruiters or records are included.
Check the grouping: confirm how the data is being broken down.
Ask the Agent to refine it: explain what you want changed.
Use the underlying records: where available to check the result against your CRM & ATS data.
If the Agent still doesn't produce the expected result, the requested report may not currently be supported.
