Setting up the Airtable Integration

This article describes how to set up your Airtable integration and sync features.

Setting up your Airtable integration in SourceWhale is very simple, please follow the steps below.


Airtable Integration Set-Up

Step 1

Go to your profile in the bottom left-hand corner of SourceWhale and click on your initials or image > Select Integrations from the dropdown box > Search for Airtable in the search bar.

Step 2

Once you have selected Airtable, a pop-up with appear with instructions. To enable the Airtable integration, head to the table you wish to sync - within Airtable - and copy the whole URL of that page into the box below. Then, click Activate. Additionally, on the Airtable authorization screen, make sure to give SourceWhale access to the base that your table is a part of.

When the integration is active, you will see 'Connected' in green on the right-hand side of the Airtable logo.


Sync Features

On the integrations page, an admin will be able to set default settings for yourself and your team.

General Settings

  1. Do not merge with existing contacts in AirTable: Turning this toggle on will create duplicates in AirTable.

  2. Sourcer Field: Select the field that contains the name of the Sourcer in AirTable.

Sync Settings

  1. Only add notes to synced records: Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in AirTable once a Contact has been marked as "interested" or "replied".

  2. When adding to a campaign: Choose to sync when adding Contacts or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform.

  3. Protected fields: Selected fields will not be overwritten in AirTable when syncing data.

  4. Filterable fields: Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Field Mapping

Here you can customise and map all AirTable fields to the corresponding SourceWhale variable.

Note: Please do not adjust unless you are finding that the variables are not mapping as expected in AirTable.

  1. String Variables: These SourceWhale variables can only be mapped to one field in AirTable.

  2. List Variables: These SourceWhale variables can be mapped to multiple fields in AirTable.

  3. Social URLs: Link specific social URLs such as LinkedIn, Twitter etc to the correct field in AirTable.
