Setting up the Airtable Integration

This article describes how to set up your Airtable integration and Integration settings.

Setting up your Airtable integration in SourceWhale is very simple, please follow these steps:

Step 1

Go to your profile in the bottom left-hand corner of SourceWhale and click on your initials or image > Select Integrations from the dropdown box > Search for Airtable in the search bar.

Step 2

To enable the Airtable integration, visit the Personal Access Tokens page, give access to the following scopes:

  • data.records:read

  • data.records:write

  • data.recordComments:read

  • data.recordComments:write

  • schema.bases:read

  • schema.bases:write

Also give access to the base that you would like SourceWhale to integrate with. Click create token, then copy and paste the token into the field.

Step 3

Then navigate to the table you wish to sync and copy the whole URL of that page into the field. Once you have entered both the token and the URL, click Activate.

When the integration is active, you will see 'Connected' in green on the right-hand side of the Airtable logo.


Integration Settings

On the integrations page, you will be able to set default settings for yourself and your team.

Contact Settings

Sync manual contact updates to Airtable - Automatically update Airtable with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.

Adding to Airtable

Add Contact to Airtable - Choose when Contacts get added to Airtable, either when added to the campaign, when they respond or when they respond positively and are interested. Alternatively, you can choose to not add this contact type.

Only add notes to synced records - Toggling this on will mean that if you have "only when they reply" or "only when they are interested" for the Add Contact to option, we will only add notes to existing records in Airtable once a Contact has been marked as "interested" or "replied".

Contact Fields

Update field in Airtable- You can choose "Always update" or "Only update if Blank":

Always update will update the field regardless if there is existing information on a contact in this field. Any existing information will be overwritten by the new information.

Only update if Blank will only update when the field is empty and won't overwrite any existing data.

Advanced Settings

Sourcer Field: Select the field that contains the name of the Sourcer in Airtable.

Filterable Fields - Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Activity Notes

Here you can choose which activities will create notes in Airtable.

Note creation

Create new notes from - Choose for which outreach types a note is pushed in Airtable.

Contact Fields

Here you can customise and map all Airtable fields to the corresponding SourceWhale variable.

Please do not adjust unless you are finding that the variables are not mapping as expected in Airtable.
