How to Check if a Contact Is Active in a Campaign
Navigate to the campaign in SourceWhale.
Search for the contact in the search bar in the Overview section of the campaign and check the column to the left of the contact's name.
In the example below, John Doe doesn't have a marker next to his name. This means he has been added to the campaign but is not active. Therefore, he can be added to another campaign.
Von Doe has a green dot next to her name, which means the contact is active in the campaign and, therefore, cannot be added to another campaign.
Hannah Doe has a warning next to her name, which means the contact has been removed from the campaign and, therefore, can be added to another campaign.
To make contacts inactive in a campaign, select the contact's name with the checkbox > click Actions > and Stop Outreach OR Remove from Campaign.
Move Contacts From a Project to a Campaign
Note: Campaigns and Projects are different things in SourceWhale. Projects can be found in SourceWhale by clicking People on the left-hand side of the screen in the blue panel, and Projects, whereas Campaigns can be found by clicking Campaigns.
Navigate to the Project your contacts are listed in.
Click the corresponding checkbox for each contact you'd like to add to a campaign or select the top checkbox next to Name to bulk select the list of contacts displayed on the screen.
Click Actions and Add to Campaign.
Select the campaign you'd like to add the contacts to and click Next.
Click Review Outreach in the top-right corner of the screen.
You will be redirected to the page shown below. Review your outreach by clicking the arrows on the right-hand side of the screen to check the outreach they'll receive.
Click Add All to Campaign if you'd like to add all of the contacts to the campaign.
Once added, you should see a pop-up in the bottom-right corner of your screen saying Outreach Scheduled Successfully.
Alternatively, you can add personalisation to your outreach on the right-hand side of the screen > select the contact you'd like to add to the campaign with the checkbox next to their name on the left-hand side of the screen > and click Add Selected to Campaign. You should see the same pop-up appear saying Outreach Scheduled Successfully.
Move Contacts From One Campaign to Another Campaign
Note: Contacts can only be active in one campaign at a time. Please refer to this section of the article to check which contacts are active in a campaign.
Navigate to the campaign you'd like to remove the contacts from.
Select the contacts you'd like to remove with the checkboxes next to their names, or select in bulk by selecting the top checkbox next to the Name column.
Click Actions and Stop Outreach. These contacts will no longer be active in the campaign.
Refresh the page and select the contacts you'd like to move to a different campaign using the checkboxes next to their names.
Click Actions and Add to Campaign.
Select the campaign you'd like to add the contacts to and click Next.
Click Review Outreach in the top-right corner of the screen.
You will be redirected to the page shown below. Review your outreach by clicking the arrows on the right-hand side of the screen to check the outreach they'll receive.
Click Add All to Campaign if you'd like to add all of the contacts to the campaign.
Once added, you should see a pop-up in the bottom-right corner of your screen saying Outreach Scheduled Successfully.
Alternatively, you can add personalisation to your outreach on the right-hand side of the screen > select the contact you'd like to add to the campaign with the checkbox next to their name on the left-hand side of the screen > and click Add Selected to Campaign. You should see the same pop-up appear saying Outreach Scheduled Successfully.
Manually Add a Single Contact to a Campaign
Navigate to the Contacts page in SourceWhale by clicking People and Contacts on the left-hand side of the screen in the blue panel.
Click the icon in the top-right corner of the page and Add Manually.
Enter the details of the contact you'd like to add and click Add.
You've successfully added a contact to SourceWhale.
How to Change an Email Address for a Contact
Navigate to the campaign in SourceWhale.
Click the contact's name.
Click the icon in the top-right corner of the pop-up to edit the contact details.
Remove the existing email address and add the new email address.
Re-engage the contact into the campaign by visiting this article.
Re-Add Contacts to a Campaign
Navigate to the campaign or Contacts page in SourceWhale.
Search for the contact in the search bar in the Overview section of the campaign and check the column to the left of the contact's name.
Check if the contact is active by visiting this section of the article. If a contact has a green dot next to their name, it means they're active in the campaign and, therefore, cannot be re-added to the campaign. You will need to stop their outreach or remove them from the campaign before they can be re-added.
Select the contacts you'd like to remove with the checkboxes next to their names or select in bulk by selecting the top checkbox next to the Name column.
Click Actions and Add to Campaign.
Select the campaign you'd like to add the contacts to and click Next.
Click Review Outreach in the top-right corner of the screen.
You will be redirected to the page shown below. Review your outreach by clicking the arrows on the right-hand side of the screen to check the outreach they'll receive.
Click Add All to Campaign if you'd like to add all of the contacts to the campaign.
Once added, you should see a pop-up in the bottom-right corner of your screen saying Outreach Scheduled Successfully.
Alternatively, you can add personalisation to your outreach on the right-hand side of the screen > select the contact you'd like to add to the campaign with the checkbox next to their name on the left-hand side of the screen > and click Add Selected to Campaign. Note: Contacts will resume from the last campaign step they were assigned. They will not begin from Step 1 if they have already received Step 1.
Companies With Similar Names in the CRM/ATS
Why are you getting a warning when trying to add someone as a contact to your CRM/ATS or a SourceWhale campaign?
When adding a contact to SourceWhale and syncing the contact to your CRM/ATS, you may have noticed a warning that pops up in the SourceWhale Chrome extension:
This is to let you know we've detected a duplicate or closely matching company in your CRM/ATS and need confirmation on which company to map this contact to.
If there are multiple companies with the same or very similar names in your CRM/ATS and you haven't double-checked and selected the right company, you'll get this warning. This helps SourceWhale to avoid duplicating companies in your CRM/ATS (e.g. you already have companies called SourceWhale UK and SourceWhale Europe in your CRM/ATS, and SourceWhale asks you whether it should assign a contact to one of the existing companies or create a new SourceWhale company).
What should you do when this happens?
Through the Chrome extension, you'll have the option to either select the correct company you'd like SourceWhale to map the contact to in your CRM/ATS or create a new company.
