Colleague Integration Setup
Setting up your Colleague integration in SourceWhale is very simple, all you need to do is follow the steps below.
Step 1
Navigate to your initials/image in the bottom left-hand corner > Select Integrations from the dropdown menu > Search for Colleague in the search bar.
Step 2
To enable the Colleague integration, obtain a subscription key and user ID here.
This needs to be done by all users
Step 3
Click Activate.
When the integration is active, you will see a green connected box appear on the right-hand side of the Colleague logo.
Integration Settings
On the integrations page, you will be able to set default settings for yourself and your team.
Contact Settings
Sync manual contact updates to Colleague
- Automatically update Colleague with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.
Adding to Colleague
Add Candidate/Contact to Colleague
- Choose when Candidates/Contacts get added to Colleague, either when added to the campaign, when they respond or when they respond positively and are interested. Alternatively, you can choose to not add this contact type.
Only add notes to synced records
- Toggling this on will mean that if you have "only when they reply" or "only when they are interested" for the Add Candidate/Contact to
option, we will only add notes to existing records in Colleague once a Candidate/Contact has been marked as "interested" or "replied".
Candidates/Contacts Fields
Displayed Fields
- Choose which Colleague fields users can optionally tag to a Candidate/Contact to push into Colleague.
Mandatory Fields
- Choose which Colleague fields must be filled to push Candidate/Contact into Colleague.
Update field in Colleague
- You can choose "Always update" or "Only update if Blank":
Always update will update the field regardless if there is existing information on a contact in this field. Any existing information will be overwritten by the new information.
Only update if Blank will only update when the field is empty and won't overwrite any existing data.
Candidate/Contact Status
Default Status
- Add new Candidates/Contacts with a default status.
Advanced Settings
Default source
- Add new Candidates/Contacts to Colleague with this source
Filterable Fields
- Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.
Activity Notes
Here you can choose which activities will create notes in Colleague.
Note creation
Create new notes from
- Choose for which outreach types a note is pushed in Colleague.
Note mapping
Here you can map SourceWhale activities to your custom Colleague note types.
Set different settings for Candidate/Contact by selecting the relevant tab.
Select the dropdown for each stage to map it to the correct Colleague Note Type
You don't need to map notes as the note will still be created in the CRM (just without a specific note action type/category) but mapping helps track ROI.
Contact Fields
Here you can customise and map all Colleague fields to the corresponding SourceWhale variable.
Please do not adjust unless you are finding that the variables are not mapping as expected in Colleague.

Displayed company info
- Select the option to give further information regarding a company in the SourceWhale Chrome extension.
Displayed company warning
- Select the option you would like displayed to help identify the correct company for a Candidate/Contact when there may be possible company duplicates or similarly named companies in your CRM.
Advanced Settings
Don't overwrite existing CVs in Colleague
- If a contact has an existing CV in Colleague, we will not upload a new CV.
