Setting up & using the Clockwork Integration

This article describes how to set up, use your Clockwork integration and Integration Settings.

Clockwork Integration Setup

In order to set up your Clockwork integration on SourceWhale simply follow these steps:

Step 1

Navigate to your initials/image in the bottom left-hand corner > click on Integrations.

Search for Clockwork in the search bar.

Step 2

⚠️ Clockwork charge monthly for an API key based on how many users you have.

Generate an API key following the instructions here. Please contact Clockwork support if you need help.

Enter the API Key, API Secret, Subdomain and Service Key in the relevant fields

Once you have entered the information then click 'Activate'.

Once your integration is active you will see a green connected box appear by the Clockwork icon.


Integration Settings

On the integrations page, you will be able to set default settings for yourself and your team.

Contact Settings

Sync manual contact updates to Clockwork Recruiting - Automatically update Clockwork with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.

Block emails to recipients marked as off-limits - If turned on, SourceWhale will not send emails to contacts marked as off-limits/opt-out in Clockwork.

Adding to Clockwork

Add Person to Clockwork - Choose when Persons get added to Clockwork, either when added to the campaign, when they respond or when they respond positively and are interested. Alternatively, you can choose to not add this contact type.

Only add notes to synced records - Toggling this on will mean that if you have "only when they reply" or "only when they are interested" for the Add Person to option, we will only add notes to existing records in Clockwork once a Person has been marked as "interested" or "replied".

Person Fields

Displayed Fields - Choose which Clockwork fields users can optionally tag to a Person to push into Clockwork.

Mandatory Fields - Choose which Clockwork fields must be filled to push Person into Clockwork.

Update field in Clockwork - You can choose "Always update" or "Only update if Blank":

Always update will update the field regardless if there is existing information on a contact in this field. Any existing information will be overwritten by the new information.

Only update if Blank will only update when the field is empty and won't overwrite any existing data.

Activity Notes

Here you can choose which activities will create notes in Clockwork.

Note creation

Create new notes from - Choose for which outreach types a note is pushed in Clockwork

Note mapping

Here you can map SourceWhale activities to your custom Clockwork note types.

Select the dropdown for each stage to map it to the correct Clockwork Note Type

You don't need to map notes as the note will still be created in the CRM (just without a specific note action type/category) but mapping helps track ROI.

Contact Stages

Here you can map SourceWhale outreach stages to your custom Clockwork stages.

Select the drop-down for each stage to map it to the correct Clockwork Stage.

Contact Fields

Here you can customise and map all Clockwork fields to the corresponding SourceWhale variable.

Please do not adjust unless you are finding that the variables are not mapping as expected in Clockwork.

General Settings

Advanced Settings

Don't overwrite existing CVs in Clockwork - If a contact has an existing CV in Clockwork, we will not upload a new CV.

Update existing contacts' full work/education history, if known - Turning this toggle on will update contacts in Clockwork with all available work and education history if synced again.

Using Clockwork with SourceWhale

Within SourceWhale you can use the Clockwork integration features in the campaign settings or Chrome extension.

Campaign Settings

When creating a campaign, you will be prompted with this pop-up:

Below the campaign name and type, you can choose whether to sync as a Person or not to sync. You can also choose to adjust the default sync settings. If you click on the grey arrow to the right-hand side of the 'Sync options', you will see that you have the possibility to push a Person through with specific tags.


Chrome Extension

When using the Chrome extension you will be able to access some of these features as well. This option is available in order to give the ability to change the settings you have previously set, for specific individuals.

I.e. In the campaign settings page, you have selected that you want everyone to be pushed through as a Person, but you come across someone you'd rather not push, you can then change this by clicking on the 'sync as' box and selecting the option that suits that Person better.

You can do the same in regards to campaign setting options, by clicking on the grey arrow to the right of the 'Sync as' box.

Your team admin can alter the fields displayed at any time by going to the integrations page.
