Managing Modular Licenses

Learn how to manage your team's modular licenses in SourceWhale.

Navigating the Licenses Section

The Licenses section lives next to the Users section on the Admin > Users page in SourceWhale. Licenses allow you to easily manage who on your team has access to which modules.

  1. The Licenses section is accessible to the right of the Users section

  2. Purchase additional module Licenses

  3. Add new users to SourceWhale

  4. Number of licenses in use/available for each module

  5. Tick the boxes for each module a user has access to


License Management - Adding Users and Removing Module Access

Adding Users

  1. Select 'Add Users' at the top right of the page

  2. Select the User Type (User, SuperUser, Viewer, or Alias). Note: Invitees must have either a User or SuperUser type to utilize modular licenses.

  3. Toggle on 'Admin Panel' for any users you'd like to have access to the Admin panel and Integrations page.

  4. Select which Licenses the user will have access to.

  5. Input the user's email address. Note: You are able to add multiple users at once. Just add a comma and space, then the additional user's email address.

  6. Select 'Add Users'

Adding/Removing Module Access

  1. To add or remove a user's access to available modules, simply tick or untick the box below the correct module column.

  2. To remove user access altogether, untick the box to the left of the user's name. You will receive a warning pop-up indicating that saving these changes will remove data and/or deactivate the user.

  3. Select 'Save' at the top right of the page to lock in changes before navigating to a different page.

⚠️ Warning: Removing Outreach access for any user will result in the deletion of all outreach and todos.


Modular License Types

  1. Data: Access to email address and/or phone number search credits to use for contacts you do not have contact information.

  2. Extension: Access to the SourceWhale Chrome extension to add clients and candidates to campaigns, personalize on the fly, and parse contact data to your CRM.

  3. Inbox Agent: Access to Inbox Agent to quickly create nudge templates directly in your Gmail or Outlook inbox.

  4. Notetaker: Access to Notetaker, which joins your meetings, records them, transcribes them, and generates an AI-generated summary.

  5. Outreach: Access to the SourceWhale platform

  6. Conversations (UK/US): Access to phone calls, one-off SMS, WhatsApp tracking, and SMS steps in outreach sequences.

  7. Data Refresh (Team license only): Automatically verifies and updates candidate and contact data in clients’ CRM/ATS with correct and up-to-date details from leading third-party data providers.


Purchasing Additional Licenses

  1. Select 'Add Licenses' next to the applicable module. Note: This will appear when all licenses are in use or if you are not currently utilizing the module.

  2. Enter the number of licenses you'd like to purchase. The price per license is automatically generated for you.

  3. Review the purchase agreement and tick the box

  4. Select 'Purchase'
