PCRecruiter Integration Setup
Setting up your PCRecruiter integration in SourceWhale is very simple, all you need to do is follow the steps below.
Step 1
Click on your initials/images in the bottom left-hand corner of SourceWhale > Select Integrations from the dropdown box.
Search for PCRecruiter within the search bar and click Connect.
Step 2
⚠️ This needs to be actioned by all users within the team
You will need to create a new API user within PCRecruiter and name it SWAPI. To do this, follow the instructions here.
Next login to the link below with the API User credentials:

Note: If you are unable to log in to the above site, please Sign Up to obtain API credentials if you have not done so before.
Once created, provide your Username, Password, Database ID, API Key, and APP ID in the relevant fields in SourceWhale and click Activate.
Once your integration is active, you will see a green box to the right of PCRecruiter that says Connected.
Integration Settings
On the integrations page, you will be able to set default settings for yourself and your team.
Contact Settings
Sync manual contact updates to PCRecruiter
- Automatically update PCRecruiter with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.
Adding to PCRecruiter
Add Candidate to PCRecruiter
- Choose when Candidates get added to PCRecruiter, either when added to the campaign, when they respond or when they respond positively and are interested. Alternatively, you can choose to not add this contact type.
Only add notes to synced records
- Toggling this on will mean that if you have "only when they reply" or "only when they are interested" for the Add Candidate to
option, we will only add notes to existing records in PCRecruiter once a Candidate has been marked as "interested" or "replied".
Candidate Fields
Displayed Fields
- Choose which PCRecruiter fields users can optionally tag to a Candidate to push into PCRecruiter.
Mandatory Fields
- Choose which PCRecruiter fields must be filled to push Candidates into PCRecruiter.
Update field in PCRecruiter
- You can choose "Always update" or "Only update if Blank":
Always update will update the field regardless if there is existing information on a contact in this field. Any existing information will be overwritten by the new information.
Only update if Blank will only update when the field is empty and won't overwrite any existing data.
Advanced Settings
Unsubscribe Pipeline Step
- Contacts who subscribe will automatically be added to this pipeline step
Add new candidates to
- If a company is selected here, all new candidates will be added to this company
Filterable Fields
- Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.
Activity Notes
Here you can choose which activities will create notes in PCRecruiter.
Note creation
Create new notes from
- Choose for which outreach types a note is pushed in PCRecruiter.
Note mapping
Here you can map SourceWhale activities to your custom PCRecruiter note types.
Set different settings for Candidates by selecting the relevant tab.
Select the dropdown for each stage to map it to the correct PCRecruiter Note Type
You don't need to map notes as the note will still be created in the CRM (just without a specific note action type/category) but mapping helps track ROI.
Contact Stages
Here you can map SourceWhale outreach stages to your custom PCRecruiter stages.
Select the drop-down for each stage to map it to the correct PCRecruiter Stage.
Contact Fields
Here you can customise and map all PCRecruiter fields to the corresponding SourceWhale variable.
Please do not adjust unless you are finding that the variables are not mapping as expected in PCRecruiter.
General Settings
Displayed Company Information
Displayed company info
- Select the option to give further information regarding a company in the SourceWhale Chrome extension.
Displayed company warning
- Select the option you would like displayed to help identify the correct company for a Candidate when there may be possible company duplicates or similarly named companies in your CRM.
Flagged data removal
Remove flagged email addresses
- If you flag an email address in SourceWhale, it will be removed from any contacts in PCRecruiter that have the address.
Remove flagged phone numbers
- If you flag a phone number in SourceWhale, it will be removed from any contacts in PCRecruiter that have the address.
Using PCRecruiter with SourceWhale
Once you have set up your integration you will be able to use and set up the different features available.
Campaign Settings Page
On the campaigns setting page you will see different options regarding when and how candidates are pushed through to PCRecruiter.
Dropdown options: If you click on the grey arrow to the right hand side of the 'Sync options', you will see that you have the possibility to push through candidates/contacts/contractors to a variety of different areas in PCRecruiter (shown below).
When you select any of these everyone you source and add to the campaign will be pushed through to the fields selected.
Chrome Extension
When using the chrome extension you will be able to access some of these features as well. This option is available in order to give the ability to change the settings you have previously set, for specific individuals.
You can do the same in regards to advanced setting options, by clicking on the grey arrow to the right of the 'Sync as' box.
Your team admin can alter the fields displayed at any time by going into the integrations page.
