Setting up & using the Invenias integration

This article describes how to set up your Invenias integration and Integration settings

Invenias Integration Setup

Setting up your Invenias integration in SourceWhale is very simple, all you need to do is follow the steps below.

Step 1

Select your initials/image in the bottom left hand corner of SourceWhale > Select Integrations > Search for Invenias and select.

Step 2

Enter the subdomain where you usually access Invenias.

Step 3

Please click on the link provided and ensure that you are signed in as a System Admin.

Step 4

Double click on the api_key box in the top-right. Copy the full key once it appears.

A pop-up will appear before the API Key is displayed (ensure no pop-ups are blocked on this page)

This page can be glitchy and slow. You may need to refresh a few times.

Step 5

Enter the key that is created in the box below and then click Activate.

Invenias can take some time to start working. If you are presented with an Invenias page saying "The client application is not known" after clicking "activate" then refresh the page every 30 seconds until it works.

When the integration is active, you will see a green connected box to the right-hand side of the Invenias logo.


Integration Settings

On the integrations page, you will be able to set default settings for yourself and your team.

Contact Settings

Sync manual contact updates to Invenias - Automatically update Invenias with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.

Block emails to recipients marked as off-limits - If turned on, SourceWhale will not send emails to contacts marked as off-limits/opt-out in Invenias

Adding to Invenias

Add Candidate/Contact to Invenias - Choose when Candidates/Contacts get added to Invenias, either when added to the campaign, when they respond or when they respond positively and are interested. Alternatively, you can choose to not add this contact type.

Only add notes to synced records - Toggling this on will mean that if you have "only when they reply" or "only when they are interested" for the Add candidate/contact to option, we will only add notes to existing records in Invenias once a Candidate/Contact has been marked as "interested" or "replied".

Candidate/Contact Fields

Displayed Fields - Choose which Invenias fields users can optionally tag to a Candidate/Contact to push into Invenias.

Mandatory Fields - Choose which Invenias fields must be filled to push Candidate/Contact into Invenias

Update field in Invenias - You can choose "Always update" or "Only update if Blank":

Always update will update the field regardless if there is existing information on a contact in this field. Any existing information will be overwritten by the new information.

Only update if Blank will only update when the field is empty and won't overwrite any existing data.

Advanced Settings

Default Assignment Progress Status - Set a default assignment progress status for all candidates.

New Candidate Status - Set a default status for new candidates.

Existing Candidate Status - Set a default status for existing candidates.

Email bounce note type - Set a note type for bounces.

Filterable Fields - Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Activity Notes

Here you can choose which activities will create notes in Invenias

Note creation

Create new notes from - Choose for which outreach types a note is pushed in Invenias.

Note mapping

Here you can map SourceWhale activities to your custom Invenias note types.

Set different settings for Candidates/Contacts by selecting the relevant tab.

Select the dropdown for each stage to map it to the correct Invenias Note Type.

You don't need to map notes as the note will still be created in the CRM (just without a specific note action type/category) but mapping helps track ROI.

Contact Stages

Here you can map SourceWhale outreach stages to your custom Invenias stages.

Select the drop-down for each stage to map it to the correct Invenias Stage

Contact Fields

Here you can customise and map all Invenias fields to the corresponding SourceWhale variable.

Please do not adjust unless you are finding that the variables are not mapping as expected in Invenias

General Settings

Displayed Company Information

Displayed company info - Select the option to give further information regarding a company in the SourceWhale Chrome extension.

Displayed company warning - Select the option you would like displayed to help identify the correct company for a Candidate/Contact when there may be possible company duplicates or similarly named companies in your CRM.

Advanced Setting

Don't overwrite existing CVs in Invenias - If a contact has an existing CV in Invenias, we will not upload a new CV.

Update existing contacts' full work/education history, if known - Turning this toggle on will update contacts in Invenias with all available work and education history if synced again.

Assignment Status Whitelist - Choose which assignment statuses you would like to display all assignments from. If nothing is selected, then all active assignments will be displayed.

Programme Status Whitelist - Choose which programme statuses you would like to display all programmes from. If nothing is selected, then all active programmes will be displayed..

Using Invenias with SourceWhale

Campaign Settings Page

On the campaigns setting page you will see different options regarding when and how contacts are pulled through to Invenias.

Dropdown options: If you click on the grey arrow to the right hand side of the 'Sync options', you will see that you have the possibility to pull through contacts to a variety of different areas in Invenias (shown below).

When you select any of these, everyone you source and add to the campaign will be pulled through to the fields selected.


Chrome Extension

When using the chrome extension you will be able to access some of these features as well. This option is available in order to give the ability to change the settings you have previously set, for specific individuals.

I.e. In the campaign settings page, you have selected that you want everyone to be pushed through as a candidate, but you come across someone you'd rather push through as a contact, you can then change this by clicking on the 'sync as' box and selecting the option that suits that contact better.

You can do the same in regards to advanced setting options, by clicking on the grey arrow to the right of the 'Sync as' box.

Your team admin can alter the fields displayed at any time by going into the integrations page.
