Setting up the Encore Integration

This article describes how to set up your Encore integration and Integration settings.

⚠️ To enable the Encore integration, you will need to contact Cluen so they can update your Encore Max database in preparation for use with SourceWhale.

They will then provide you with secret credentials to activate the integration within SourceWhale.

Learn how to set up your Encore integration in SourceWhale by following the steps below.

Step 1

Navigate to your initials/image in the bottom left-hand corner of SourceWhale and select Integrations from the dropdown menu

Search for Encore in the search bar and click Connect

Step 2

Enter the Server, Database, Username, and Password credentials obtained from Cluen then click Activate.

Step 3

When the integration is active, you will see a green connected box appear on the right-hand side of the Encore logo.


Integration Settings

On the integrations page, you will be able to set default settings for yourself and your team.

Contact Settings

Sync manual contact updates to Encore - Automatically update Encore with any manual changes made by your team to contact fields in SourceWhale, such as name, company, role, location and more.

Adding to Encore

Add Person to Encore - Choose when Persons get added to Encore, either when added to the campaign, when they respond or when they respond positively and are interested. Alternatively, you can choose to not add this contact type.

Only add notes to synced records - Toggling this on will mean that if you have "only when they reply" or "only when they are interested" for the Add Person to option, we will only add notes to existing records in Encore once a Person has been marked as "interested" or "replied".

Person Fields

Displayed Fields - Choose which Encore fields users can optionally tag to a Person to push into Encore.

Mandatory Fields - Choose which Encore fields must be filled to push Persons into Encore.

Update field in Encore - You can choose "Always update" or "Only update if Blank":

Always update will update the field regardless if there is existing information on a contact in this field. Any existing information will be overwritten by the new information.

Only update if Blank will only update when the field is empty and won't overwrite any existing data.

Advanced Settings

Default instant status when adding a contact to a search - Default status when you add a contact to a search

Filterable Fields - Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Activity Notes

Here you can choose which activities will create notes in Encore.

Note creation

Create new notes from - Choose for which outreach types a note is pushed in Encore.

Note mapping

Here you can map SourceWhale activities to your custom Encore note types.

Select the dropdown for each stage to map it to the correct Encore Note Type

You don't need to map notes as the note will still be created in the CRM (just without a specific note action type/category) but mapping helps track ROI.

Contact Stages

Here you can map SourceWhale outreach stages to your custom Encore stages.

Select the drop-down for each stage to map it to the correct Encore Stage.

Contact Fields

Here you can customise and map all Encore fields to the corresponding SourceWhale variable.

Please do not adjust unless you are finding that the variables are not mapping as expected in Encore.

General Settings

Displayed Company Information

Displayed company info - Select the option to give further information regarding a company in the SourceWhale Chrome extension.

Displayed company warning - Select the option you would like displayed to help identify the correct company for a Person when there may be possible company duplicates or similarly named companies in your CRM.

Advanced Settings

Update existing contacts' full work/education history, if known - Turning this toggle on will update contacts in Encore with all available work and education history if synced again.
